Scheduler: Send to Email

The fastest way to deliver posts for review directly to your clients’ or managers’ inbox.

Need a quick and easy way to share your scheduled or draft posts for approval? The Send to Email feature in the Scheduler lets you select one or more posts—including Idea posts—and send them directly via email to clients, managers, or teammates.

It’s the fastest way to deliver content for review, especially for those who prefer email over using the ZoomSphere mobile app.

What is Send to email?

Send to Email allows you to quickly share any post preview, report, or calendar overview from ZoomSphere directly to anyone’s inbox — perfect for keeping clients or teammates in the loop without needing platform access. Just one click, and it’s on its way! 📩

Why Use It?

  • Send content for approval in bulk—no need to share one post at a time

  • Perfect for clients or managers who prefer email workflows

  • Keeps feedback and approvals fast, centralized, and easy to manage

How It Works

  1. Open your Scheduler, and click the red Bulk Action button in the top-right corner of the screen.

  2. Select one or multiple posts or ideas you’d like to send.

  3. In the right panel, click on “Send to Email.”

  4. Add one or more recipients (there’s no limit!) and write your custom email message.

  5. Click Preview to double-check everything.

  6. Click "Manage Post" to see how the recipient will see the list of posts

  7. If all looks good, hit "Send to Email." ✔️

Each recipient will receive an email with the selected posts and a "Manage Posts" button.

What Happens After Sending

Clicking "Manage Posts" in the email will open a list of all included posts in ZoomSphere. 👇

To see the list of posts sent for review, click the "Manage posts" button on the bottom of the email. 👇

From there, recipients can:

  • Click on each post to view its detail

  • Leave a comment

  • Change the post status

  • Edit the publishing date and time

  • Approve the post

Once a post is approved, a green "Approved" label will appear, helping everyone stay on the same page.

Important Notes

  • You can send up to 100 posts or ideas per email.

  • You can add an unlimited number of recipients.

  • Emails sent via Scheduler are not tracked in the Activity Log.

Pro Tip

Add yourself as a recipient to:

  • Receive a copy of the email

  • Confirm it was sent successfully

  • Double-check the content and recipients
