As a client or manager in ZoomSphere, you can approve posts before they go live.
For a post to be published at the scheduled date and time, it must be set to the Approved status (the green status). ✅
💡Depending on your setup, this status may have a different name – your agency may rename or customize it – but it always represents the final approval that allows ZoomSphere to publish the post at its scheduled time.
How Will You Know Which Posts Need Approval?
It depends on your workflow and how you've agreed with your agency. There are several common ways you may be notified about posts waiting for your approval:
Via ZoomSphere Chat – your agency sends you the posts directly in the chat.
Via email – your agency sends you an email with the posts for review.
Via automated email alert – ZoomSphere can automatically send you an email notification when a post status changes to the approval status (e.g. "To Approve").
Via Comment Section – your agency mentions you in the post discussion and you get bell notification, email notification and mobile app notification.
Via Scheduler Filter – in your Scheduler, you can filter the To Approve status and you'll see only posts waiting for your approval.
How to Approve a Post
Once you've received the posts for review, follow these steps to approve them in ZoomSphere Scheduler:
Open the post detail either by clicking on it in the Scheduler or ZoomSpher Chat or by clicking the button in the email.
Review the content – check the scheduled time, visuals, caption, and any additional details.
If the post looks good, change the status to Approved ✔️ (the green status). Once approved, ZoomSphere will automatically publish the post at its scheduled time.
If changes are needed, change the status to Rework (or another relevant status) and leave a comment explaining what needs updating.
Approving Multiple Posts at Once (Bulk Actions)
If you need to approve multiple posts at once, you can use the Bulk Actions feature in the Scheduler:
In the Scheduler, click the Bulk Actions button located in the top bar.
Select the posts you want to approve.
In the right-hand panel, click Change Post Status.
Select the Approved status (the green status) and confirm.
